Every movement of every class credit is recorded permanently — bought, used, burned, carried forward, cancelled, adjusted. The running balance you see on screen is a summary of that record, so the two can always be reconciled.

1. Open the package

From the student's profile, find the package and choose Show details.

2. Read the history

Each entry is one movement, with its date, how many credits it added or removed, and why:

  • The purchase — the credits the family bought.
  • Attendance — one credit off, on the day of the class.
  • Missed — one credit off for a late cancellation or no-show. This is the entry parents most often dispute, because they were not there.
  • Carry forward — credits leaving one package and arriving in another. It always appears as a pair.
  • Cancellation — the unused portion reversed when the package was cancelled.
  • A manual adjustment — a human changed the number. The remark is the only explanation that will ever exist, so it should say something.
  • Opening balance — credits brought across when the academy moved onto Hull.

The entries always add up to the balance shown. If the family's arithmetic disagrees, the ledger names the class and date that explains the gap.

3. Answer the parent

Read the disputed entry back to them with its date. Most disputes are one of three things:

  • a Missed they had forgotten was a late cancellation;
  • a make-up class they did not realise was chargeable;
  • a family package where a sibling used the credits.
Check which package the class was charged to. If a register was marked weeks late, the credit comes off the package that was valid on the day of the class, not the one the family is on now. That is deliberate — see Packages, credits and seats — but it surprises people looking at the newest package first.
A family pool draws down from either child. If two siblings share a package, one child's classes reduce the balance the other sees. Check the sibling's attendance before assuming an error.

If it really is wrong

Do not quietly retype the balance. Adjusting credits is possible, but every adjustment is recorded with the name of whoever made it — so write a remark that would still make sense to somebody else in six months.
