Deciding an application

Open it and you get the days ticked, the type, the balance the person has left, and the MC if they attached one. Approve or reject.

Two things worth looking at before you say yes:

  • The same-day marker. An application for today is emergency leave taken as annual leave. That is allowed and normal — it is flagged so you know what you are looking at, not so you refuse it.
  • Public holidays. The applicant is warned when a ticked day is a public holiday at their branch, but the warning does not stop them submitting.

There is one level. What you decide is the decision.

Correcting a balance

HR → Leave Balances, find the person, and add an adjustment. A reason is required, and it is kept.

Use it for the things a system cannot know: leave agreed before you started using Hull, a goodwill day, a correction to a grant that was wrong.

Nothing overwrites anything. A balance is the sum of its entries, so an adjustment is a new line, not an edit. Six months later the entry still says who made it and why — which is the difference between a record and a number.

Setting up the leave types

HR → Leave Policies, owner only. Your academy starts with a Malaysian default set and you change it to fit: rename, deactivate, add your own, set the entitlement per type.

One list was never going to fit everybody

Leave now hangs off a category, and each person is in one. A category says, for every leave type:

  • whether staff in it may apply for that type at all,
  • how many days they get — a flat number, a figure that rises with years of service, or record only, where the absence is logged and no balance moves,
  • whether it is paid or unpaid,
  • the minimum notice, and what to do when somebody applies later than that: block it, convert it to unpaid, or let it through flagged,
  • whether unused days carry forward, with a cap and a date they lapse,
  • whether the first year is pro-rated from the join date.

One person can still be given their own arrangement, and the person's setting wins over their category's. That is the same rule the work schedule follows, deliberately: one pattern to learn rather than two.

Nothing changed for anybody when this arrived. Every academy was given one default category holding exactly the leave settings it already had, and everybody was put in it. It stays that way until the owner deliberately adds a second one.
Unpaid leave now reaches payroll. Approved unpaid days are deducted from the month's pay, and the figures are frozen into the run when it is finalised. See Check the monthly payroll.

Deactivating a type leaves history alone. People who already took that leave keep their records; nobody can apply for it again.

Replacement leave is the academy-specific one: the day owed to someone who worked a public holiday. It is granted, not accrued, so add it when the day is worked.

What you cannot do here

Approve your own leave, if you are the one who applied — ask the owner. Nobody can approve leave for a school they do not work at.
