Ask the assistant a question向助手提问

Most questions an owner has are one sentence long — "is the business growing?", "which branch is struggling?" — and the honest way to answer them is usually a report nobody has built. The assistant answers them from your own data instead.

1. Open it

Look for the robot button floating in the bottom corner of any screen.

There are two assistants behind that button now, and they do different jobs:

If your academy has only one of them, the button goes straight there and behaves as it always did. With both, it opens a short menu so you can pick. They are sold separately, so which you see depends on what your academy holds.

Not there at all? It appears only for the academy owner, and only if your academy has one of them switched on. If you are the owner and cannot see it, it is an account setting rather than something you can turn on yourself.

2. Ask, or pick a suggestion

The opening screen offers a handful of starting points — revenue this month, marketing return, sign-up pace, the trial pipeline, urgent tasks, churn signals. They are ordinary questions written out in full, and they are the fastest way to see what it can do.

Otherwise just type. It understands your own vocabulary: branches, packages, trials, sign-ups, coaches, stopped students.

3. Watch it work

While it answers, it shows what it is doing — reading branches, counting packages, checking attendance. That running commentary is worth watching the first few times: it tells you which figures the answer is built from.

What it is good at

  • Comparisons. "How many signed up this month against last month, by branch?"
  • Finding the shortlist. "Which follow-up students have not signed up? Who should I call first?"
  • Explaining a number you already saw on a dashboard.

It keeps the conversation

A question is rarely the last one. Chats are saved and shared — they sit under School chats down the side, so a question you asked on Monday is still there on Thursday, and a colleague who can open the assistant can read it. Start a fresh one with New chat, and rename or delete any of them.

A chat belongs to one assistant. A conversation started with the Assistant stays an Assistant conversation and never appears in the Trainer's list, or the other way round. The Trainer's transcripts are a record of what was changed, and mixing reporting questions into them would spoil that.

Shared is the point. "What did we decide about the Klang numbers?" should be answerable by opening the chat, not by asking the person who ran it.

You can talk to it

Where your academy has voice switched on, there is a microphone beside the message box. Tap it and ask out loud, the way you would ask a colleague across the desk. It answers out loud, and the conversation is saved as text like any other, so you can read back what was said.

It replies in the language you spoke — English, Malay, Mandarin or Cantonese — and follows you if you switch mid-conversation. Numbers and money are said the way that language says them, which is the part that sounds wrong when it is done badly.

Voice is a separate switch, on top of the assistant itself. An academy can have the assistant without it. Ask us to turn it on.

Setting the WhatsApp assistant up is a different room

This used to be the same chat. It is now the AI Trainer, its own page behind the same button — because the two jobs want opposite things. The Assistant reads your data and changes nothing; the Trainer changes settings and holds no reading tools at all.

That is a real boundary, not a rule in its instructions. Ask the Trainer *"how many students do we have?"* and it cannot answer — it has no way to look — so it says so and sends you here. See Set up the AI agent.

What it cannot do

It only reads. It cannot mark attendance, sell a package, cancel a booking, approve a request, move money, or change a setting. Changing how the WhatsApp assistant is set up is the Trainer's job, on its own page, under its own licence.

It sees one academy — yours. It cannot compare you against another school.

It does not know what it was never told. Marketing cost is typed in by hand, so if nobody has been entering it, the assistant cannot tell you your return on ad spend. It will say so rather than invent a number, which is the behaviour you want.

Treat a surprising answer as a question, not a verdict. If it reports something you did not expect, open the screen it came from and look. The figures are real, but the reading of them is worth checking — the same as you would with a new member of staff.
