Four statuses, and the difference between two of them is money.

Your academy may not use all four. Whether Missed exists at all, and whether a missed no-show pays the coach, are settings your academy chooses. If Missed is switched off you will not see it in the status picker at all — see Attendance settings at the end.

The four

  • Present — the child attended. A credit is charged.
  • Absent — the child did not attend, and is not charged.
  • Unsure — nobody has decided yet. Nothing is charged. This is what a session starts as.
  • Missed — the child did not attend, and the class is charged anyway.

Missed is the one to understand

Missed is for a late cancellation or a no-show that the academy charges for. It is the only status where "did they turn up?" and "were they charged?" disagree.

Everywhere the system asks *did the child attend*, a Missed counts as an absence: the register shows them absent, the daily and monthly attendance figures count them absent, and the parent's portal shows the class as an absence.

Everywhere the system asks *was a class used up*, a Missed counts like a Present: a credit comes off the package, and the class cannot be given back.

Whether a coach is paid for a Missed is your academy's choice. By default they are not — the child was charged for the slot, but nobody taught them. An academy that holds the coach's time regardless can switch this on, and then a missed no-show earns the coach exactly as a Present does.

What Missed does not do

A Missed never starts a package's validity clock. If a package's expiry is counted from the first class, a missed no-show is not that first class — the clock waits for the child to actually turn up.

You cannot mark a class that has not happened

Present and Missed are refused on a class dated after today, and the refusal names the date. Both spend a credit, and spending one against next week's lesson takes it from the wrong session while today's stays unmarked.

Absent and Unsure *can* be set in advance — telling the system on Tuesday that a child will not be there on Saturday is a real thing to do.

If you find yourself refused, check the date at the top of the register. Paging forward and then marking is exactly the mistake this prevents.

When a class is waiting on an approval

If a change to the class itself is waiting to be approved — a different coach, a different class type, a new day or time, or the class being closed — the register for it is held until somebody decides. The class says Attendance on hold with the change underneath it, and marking is refused with the same explanation rather than silently doing nothing.

This is not caution for its own sake. Marking Present takes a credit, and a credit taken against a session that the approval is about to move makes the change impossible to apply afterwards. Approving or rejecting the change frees the register immediately.

A one-off swap of the coach for a single session does not hold anything — only changes to the class as a whole do.

Changing your mind

If a colleague marked it first, changing it asks you to confirm and names who set what. See Take the register.

You can change a status after marking it. The system is careful about what that costs:

  • Present ↔ Missed — the credit was already taken and stays taken. Flipping between them does not charge a second credit, and does not give one back.
  • Present or Missed → Absent or Unsure — the credit is returned.
  • Absent or Unsure → Present or Missed — a credit is taken.

Once a day has been finalised, the marks for that day and branch are locked. See Take the register. Academies that do not finalise days can correct a mark at any time.

Absent and Missed are counted separately

In reports, Absent means the child did not turn up and was not charged. Missed means they did not turn up and were charged. They used to be added together, which hid the thing an owner most wants to know: what the no-show policy actually collects.

The Overview Dashboard now carries a Missed column of its own, and Present + Absent + Missed + Unsure adds up to every mark taken that day.

Attendance settings

Three settings decide how your academy counts attendance. They are set per academy, not per branch, and the defaults match how the system has always behaved — so nothing changes until somebody deliberately changes it.

If your academy does not finalise days, the Finalize buttons and the Confirmed column simply do not appear, and your figures count every mark taken rather than only confirmed ones. Ask us to change any of these.

Why a family pool only pays once

If two siblings share one package and both are in the same session, the pool is charged one credit for that occasion, not two. A Missed counts the same way — so a sibling marked Present and a sibling marked Missed in one session still costs the family a single class.

What blocks other actions

Because Present and Missed both hold a credit, both stop things that would strand it. You cannot end a booking, remove a child from a session, or edit a class in a way that would erase a Present or a Missed without dealing with the credit first. Absent and Unsure rows carry nothing and are cleared freely.
