Stopping a student is not just tidying a list. It frees the slot, closes the bookings, and puts a reason into the one report that tells you why families leave.

1. Open the student and choose Stop

From the student's profile, choose Stop. The Stop Student dialog asks for two things.

2. Set the stop date

Use the date they actually stopped, not today. Retention numbers are counted by date, so a month of back-dated stops entered on the 30th makes that day look like a disaster and the rest of the month look fine.

3. Give the real reason

The reason is the whole point. "Stopped" tells you nothing. "Moving away", "clashes with tuition", "unhappy with a coach change" each lead somewhere different — and only if they are recorded the same way every time can anyone count them.

So the reason is picked from a list, not typed. The list is your own — Settings → Exit Reasons — and you can rename, add or retire entries to fit how your families actually talk. *Other / not given* is always there, so a stop is never blocked for want of a tidy reason; it is just counted as one you did not learn.

Then it asks how you did. The same five ratings parents give in their feedback form — coaching, progress, facilities, class times, communication — so "they left over coaching" can be read beside a score rather than a hunch. Thirty seconds, and it turns a reason into something you can compare between branches.

Then Confirm Stop.

You can correct it later. The reason typed at the counter is rarely the one the follow-up call turns up. Every stop in the student's history carries Correct this, which reopens the reason and the ratings. See Keep notes on a student's history.
Stops the system closes on its own — a package that ran out with nobody renewing — are marked as such and counted separately, so they never inflate the share of any real reason.
Money still owed? Stopping the student does not cancel their packages or write off an invoice. If they have paid for classes they will not use, that is a separate decision — see Cancel a package.

What happens

  • The student's status becomes Stopped and they appear under Operation → Stopped Students.
  • Their recurring bookings close, and the seats return to sellable capacity.
  • The change is logged, so the retention report can count it in the right month and the right branch.

The other door: Lost on a renewal task

Closing a renewal conversation on the daily list as Lost stops the student too — the same date, the same bookings closed, the same reason asked for. It is deliberately the same act as this button, not a second way of doing something similar.

Two things follow from that:

  • Do not press Lost to mean "I could not reach them." That is No answer. Lost on a renewal ends the student's time with you.
  • A student already stopped is not stopped twice. If the profile button got there first, the task closes without counting a second departure.

Lost on any *other* kind of task — a certificate to hand over, a replacement to arrange — does not touch the student at all. See Work the daily list.

If the stop date and the history disagree

The Stopped Students list shows the stop date on the record, and badges a student whose date does not match what their history says happened. That is usually a child who was stopped, came back, and was stopped again — where one of the two dates never made it onto the timeline.

It is flagged rather than corrected, because only somebody who knows the family can say which date is the true one. Open the profile, read the stream, and set it right.

When the reason is really several

The picked reason is the one that gets counted. If the real story is longer — the price *and* the coach *and* the Saturday clash — put it in a note. A note added from the Stopped Students list is filed against that student's stop automatically, so the reason and the follow-up calls about it sit together. The count stays honest and the story is still there for whoever rings the family back.

Where you read all of this later is Reports → Feedback & Retention: the stop reasons by branch, coach and level on one tab, and how your current families feel about you on the other. See Who stopped, and why.
